Subject: New Duck Depot Go-Live Date and Old Duck Depot Sunset
Dear Campus Colleagues,
In case you missed it, Purchasing and Contracting Services and Business Affairs announced last week that the newly updated and expanded Duck Depot will be available campus-wide on November 17, 2025! We are excited about the improved processes, functionalities, and efficiencies that the new Duck Depot will bring to campus.
Pilot users have been using the new system to place orders and process invoices since early October. The New Duck Depot implementation team is using feedback from the pilot group to ensure the system is configured to be as functional as possible at go-live. We will continue to welcome feedback after the new Duck Depot goes live to continuously improve the system.
Shortly after go-live, ordering on the previous instance of Duck Depot will be disabled. PCS will extract all order data from the previous instance of Duck Depot before it is decommissioned. Users will also be able to pull order data from that system until December 31, 2025. Similarly, processing of all supplier invoices and all purchase orders will move to the new Duck Depot in the weeks after go-live.
Recently we hosted two townhall sessions that introduced the new Duck Depot. In those sessions, we provided details on the goals and benefits, demonstrated the purchasing and accounts payable processes in the system, and introduced the training materials that will be coming your way. You can find the recordings for those sessions on the Duck Depot Expansion webpage. In the coming weeks leading up to go-live, additional information about processes and procedures, training, office hours, and roles will be posted there as well. Keep checking back as the go-live date approaches.
